WhatsApp personal CRM, read as a linked device
Tracebrain reads WhatsApp as a linked device, the same kind of connection WhatsApp Web uses, and turns your one-to-one conversations into a living profile for every person you talk to. This page says exactly how that works: how you connect, how much history WhatsApp hands over, what is read and what is not, what lands in a note, and how to unlink it.
How you connect
Connecting is a scan from your phone. There is no bot to add and no business number to register.
- Open WhatsApp on your phone.
- Go to Settings, Linked devices, Link a device.
- Scan the QR code Tracebrain shows. WhatsApp replaces it about every twenty seconds, so the code on screen refreshes itself.
Before you scan, the setup screen says the one thing you should know about any WhatsApp tool that reads a personal account: it is an unofficial linked device. WhatsApp's official Business API only serves business numbers and does not see your personal inbox at all, so a linked device is the only way in. WhatsApp does not sanction such clients, and the account at risk is your own number. Tracebrain only reads and never sends, which is the quietest way to use one, but it is not a guarantee.
A linked device works while your phone is off. WhatsApp's own help pages say linked devices are logged out if the phone itself goes unused for more than 14 days, so open WhatsApp on the phone at least once in that time.
How much history you get
This is where WhatsApp and Telegram differ most, and it is worth knowing before you connect.
| Telegram | ||
|---|---|---|
| How it connects | Your own login | A linked device |
| History at connect | You choose, up to all of it | About three months at most, once |
| Older chats | Read in full | Often only the last message |
| New messages | Read as they arrive | Read every five minutes |
WhatsApp gives a new linked device its past history exactly once, while the pairing is made. Tracebrain asks for the deepest history WhatsApp offers, and what comes back is usually the last few weeks in full and, from older chats, little more than their last message. A second import cannot add what WhatsApp did not hand over the first time, so the setup screen warns you when the range you pick reaches further back than WhatsApp will.
From the day you connect, the window stops mattering. Tracebrain reads new messages every five minutes, and each pass starts a little before the end of the previous one, so a message that arrived during a pass is not lost. If the connection was down, the next pass reads back from where the last one ended; with nothing to go on, it reads the last three days. A line already in the note is never written twice.
What is read, and what is not
| Read | Not read | |
|---|---|---|
| Conversations | One-to-one chats with a person | Groups, communities and channels |
| Messages | The text, captions included, with the time it was sent | Photos, voice and files are kept as a placeholder, not downloaded or transcribed |
| People | Chats that resolve to a phone number | Chats WhatsApp shows without a number, which are skipped rather than guessed |
| Your account | Messages in the chats above | Nothing is sent, joined or marked as read |
Every line carries the time the message was sent, not the time it was read. People are matched by phone number: if a note already has that number, the conversation goes into it, so someone you talk to on Telegram and WhatsApp appears once, with both conversations under one name. When two notes claim the same number, Tracebrain does not pick one for you.
What you get
Every person you talk to on WhatsApp gets one living profile: who they are, what they told you, what you promised each other and what is still open. It is rewritten from what was said, so it stays current without you typing anything. Say a designer you work with tells you she is moving studios at the end of the month, and you promise to send her an onboarding flow by Thursday. Her profile now says she is moving, and that you owe her the flow by Thursday.
Overnight, the day's conversations from WhatsApp and Telegram are read together and written up as one daily note: what was decided, what you promised, what was promised to you, what you paid and what is still open. The open promises go into a task list, so the flow you promised on WhatsApp shows up there with its day. The nightly note is described on the AI journal page.
That is the part a contact sync does not give you: what was said, not only the fact that you talked.
How this differs from a contact sync
Personal CRMs that list WhatsApp mostly sync who you talked to. Dex, for example, connects by a QR code, imports contacts from one-to-one chats and small groups, updates the date of your last interaction once a day and shows the most recent message on each contact. It is a good way to see who you have not spoken to in a while; it does not write down what was said or promised.
WhatsApp's own Message Summaries, built on Meta AI, are the other thing people reach for. They summarize the unread messages in one chat when you ask, are off by default and are rolling out in some countries only. A summary covers what you have not read yet in that chat, and WhatsApp's help pages say it disappears when you scroll away. Nothing in it carries a promise over to next week or collects what one person told you across months. That is what a note per person is for.
Taking the access back
- Disconnect in Tracebrain. Nothing more is read, and Tracebrain logs its linked device out, so it disappears from Linked devices on your phone. If WhatsApp does not confirm the logout, the screen says so instead of reporting a clean disconnect, and you finish it on the phone.
- Log it out on your phone. Settings, Linked devices, tap the device, Log out. This works whatever Tracebrain does next.
Deleting your Tracebrain account signs out every connected WhatsApp number and removes your data. The pairing is access to your messages, so it is kept on our server only and never in the code. Who processes what is listed on the privacy policy.
For teams
This page is about one person reading their own chats. A team that works with clients in WhatsApp groups has a different problem: who promised what to which client is spread across everyone's phones, and it leaves with them. That is company memory, which is in early access and is not what you connect here.
Cost
WhatsApp is included in the one plan, with unlimited connected channels, after a seven-day trial. The pricing page has the details.
