Company memory

Telegram as a team's knowledge base: search versus memory

Tracebrain is company memory for teams that work in Telegram and WhatsApp: it reads the conversations your team already has, with clients and with each other, and keeps what was decided, promised and paid, by client and by project, so the history stays with the company when people leave.

This page is for teams that already run their work in Telegram and are wondering whether that can count as a knowledge base. It covers how to search group history with what Telegram gives you, where search stops being enough, and what a team needs on top of it.

How to search Telegram group history today

Telegram is a good archive. It keeps every message on its servers and finds them quickly, and three things are worth knowing:

  1. Search inside a chat. Open the group or the conversation and search it. Telegram lets you filter the results by sender, which is the fastest way to find what one client or one colleague said.
  2. Search everything at once. The search box above the chat list looks through chats, messages and usernames across your whole account.
  3. Export a chat. Telegram Desktop exports a single chat from its menu, Export chat history, or all your data from Settings, Export Telegram data, as HTML or JSON. That is how a conversation leaves Telegram.

One setting decides what a new teammate can find. Group admins choose whether new members see earlier messages. With history hidden, the person who joins to take over a client starts with an empty chat.

We read Telegram's own FAQ and blog for these steps on 2026-10-12. The buttons move between versions of the app; the features have been there for years.

Where search stops being a knowledge base

Search answers "where did someone say this word". A team usually asks a different question: "what did we agree with this client". The two sound close and are not.

  • Search finds words, not decisions. Typing "price" returns every message that mentions a price: the first quote, the counter-offer, the joke about it and the final number. Which one is binding is something a person has to work out by reading.
  • The answer is split across accounts. A client talks to the account lead in a direct chat, to the designer in another, and to the whole team in a group. Each person can search only the chats they are in. Nobody's search box sees the whole client.
  • The newest message is not always the current one. A deadline moved on Tuesday and moved back on Friday. Search shows both, newest first, and leaves it to you to notice.
  • It leaves with the person. A direct chat lives in the account of the person who had it. When they leave the team, their account leaves with them, and so does everything they agreed in it.

None of this is a fault in Telegram. It is a messenger, and it is very good at being one. A knowledge base is the layer that reads the messages and keeps what they settled.

An example: one client, three chats

An invented design agency in Lviv runs a website project for an invented bakery chain. In one week:

  • In a direct chat, the bakery's owner, Iryna, asks the account lead, Taras, to add a page for wholesale orders. Taras quotes €600 and a week.
  • In the project group, the designer, Sofia, says the wholesale page also needs a price list the bakery has not sent yet.
  • Back in the direct chat, Iryna agrees to the €600 and promises the price list by Friday. Taras promises the page for the Monday after.
  • On Friday the price list has not arrived, and nobody has written it down.

On Monday Taras is ill. His colleague searches the group for "wholesale" and finds Sofia's message about the price list, but not the price, not the date and not Iryna's promise, because those were said in a chat the colleague is not in.

Here is what a memory kept by client and by project holds of the same week:

Bakery website, wholesale page

ActiveClient: Iryna BondarDue Monday after the price list
Decided and promised
  • Mon: wholesale order page added to the project, €600, one week.
  • Wed: Iryna agreed to €600 and promised the price list by Friday.
  • Wed: Taras promised the page the Monday after.
Open
  • Price list from Iryna, due Friday, not received.
People
  • Iryna Bondar: the client's owner
  • Taras Melnyk: account lead
  • Sofia Hrytsenko: designer
Every name, date and price here is invented.

The colleague covering for Taras does not need to search. The price, the date and the open promise are on one card, each with the day it was said. And the first thing to do on Monday is obvious: ask Iryna for the price list.

What a team knowledge base built on Telegram needs

Four things, in order of how often their absence hurts:

  1. One place per client and per project, fed by every chat that mentions them, whoever on the team had the conversation.
  2. Decisions, promises and payments, with the date they were said. Not a summary of the chat, and not every message again.
  3. The time a message was sent, not when it was read. A promise made on Wednesday belongs to Wednesday.
  4. It stays when people leave. What a conversation settled belongs to the company, even when the account it happened in does not.

A bot added to a group meets only part of this. It sees that group, from the day it joined, and none of the direct chats where the price was agreed.

What Tracebrain does today

Each person on the team connects their own Telegram, the way a desktop app signs in, and their one-to-one chats are read, read-only, with their history. Every person they talk to gets a note, every night gets a review of what was decided, promised and paid, and the open promises become tasks. Projects get notes of their own, with their people and their decisions. Claude, ChatGPT or any MCP client can ask the memory questions through the MCP server. The details of the login are on the Telegram connector page, and WhatsApp works the same way (WhatsApp connector).

What it does not do yet, said plainly: it does not read group chats, and a team workspace, where everyone's connected accounts write into one shared memory, is planned rather than live. Today each person's memory is their own. For a team whose client agreements happen in direct chats, which is most agencies, that already covers the conversations that carry the price and the deadline. If your team's decisions live mainly in large groups, Telegram's own search and export are what you have today, and this page has said how to use them.

Why a Slack-first company brain misses all of this is argued in a company brain for teams that never moved to Slack, and the company memory page compares the company brains by the apps they read. FAQ

Questions people ask.

How do I search the history of a Telegram group?

Open the group and use its search, or type into the search box above the chat list to search every chat at once. Telegram lets you filter results by sender. New members see earlier messages only if the group's admins have left chat history visible to them.

Can Telegram be used as a knowledge base for a business?

Telegram keeps every message and finds words in them, which makes it a good archive. It does not know which message was the decision, which price is the current one, or that two chats are about the same client. A knowledge base needs that layer on top, and it has to be built from the chats rather than typed in by hand.

Can I export a Telegram group's history?

Yes. Telegram Desktop exports one chat from that chat's menu, Export chat history, or all of your data from Settings, Export Telegram data, as HTML or JSON. The result is a copy of the messages, not a summary of them.

Does Tracebrain read Telegram groups?

Not yet. Today it reads the one-to-one chats of each person who connects their own Telegram, read-only. Group chats are on the roadmap, and so is a team workspace where everyone's connected accounts write into one shared memory.

Can a team ask the memory questions in plain words?

Yes. Tracebrain has an MCP server, so Claude, ChatGPT or any MCP client can ask it what was promised to a client or what was decided on a project, and get the answer with the date it was said.
